Baby Steps and Jumping In

Where do you get started with making props? Maybe if you have a block of wood and a knife you want to start carving. You can also buy a lump of clay and start trying to shape something. If you want to learn construction techniques, try building a box with some wood and nails. Papier-mâché has been used in prop making for hundreds of years and is an easy and inexpensive method to experiment with. The important thing to do is get started working with your hands. Tools and materials all have their own quirks and characteristics, like a secret inner life. The only way to discover these and begin to familiarize yourself with them is to work with them. All the reading and planning in the world will not bridge the gap between theory and practice.

You may be afraid to make mistakes. Don’t worry; you will. You will not turn out a beautiful pristine prop on your first try. You need to go through all the hours of familiarizing yourself with the materials and methods before your work becomes good. You may feel silly just jumping in; if you just start carving a piece of wood with a knife, surely some more experienced artisan will come along and tell you that you are using the wrong knife, or that the type of wood you have is not very good for carving. You’re probably right. Even the most experienced artisans do not know everything, and when we start working with new materials and processes, there is some learning curve before we find the ideal tools for the job.

In many cases, tool and material choice is a matter of preference, culture, experience and any number of other factors. I’ve read about experienced woodworkers who treat their way of working as gospel, only to run across a seventeenth-century engraving of experienced woodworkers of that time using tools in precisely the opposite way of what should be “right”.

My point is that even experienced artisans do not know everything about everything, not with the sheer amount of crafts, tools, methods, materials and processes which a prop artisan can call upon. You can easily spend your entire life studying under master craftsmen and still not learn it all. While blogs like this one are great because it gets you thinking and spreads information efficiently, you need to jump in and start making things while you learn as well.

Design Briefs

In fields such as graphic design, design briefs are used to define the scope of the project. A design brief is a collection of information defining the intended results of a project, as opposed to the aesthetics.

A good prop master or artisan has internalized the process of creating a design brief. The most important consideration in determining the construction of a prop is figuring out what the prop needs to do. For more complicated props, it may be helpful to actually create a design brief.

The first and most important part is asking questions to determine a prop’s needs. Suppose you want to create a table. Your questions may include:

  • How tall does it need to be?
  • What size is the top?
  • How is it used?
  • What is the finish on the table? Stain? Paint? Raw material?
  • What material is it made out of? More appropriately, what material is it supposed to look like it is made out of?

Most props artisans know that when a table is requested, you should automatically ask the following questions as well:

  • Will actors be climbing on top of it?
  • Will actors be dancing and jumping on top of it?
  • How many actors at a time will be on it?

I swear, some directors only want tables so they have a place for actors to dance.

If you were just building a regular table, the information you need for your design brief may be complete. As this is a theatrical table, you have some additional questions to ask:

  • How does it need to come on and off stage?
  • Where is it stored backstage?
  • Where is it being built?

Why does the last question matter? Most props are built in one location (the prop shop) and transported to another location (the stage). Whenever you are transporting an item, it needs to fit through the smallest opening in that path. Often that is a doorway or an elevator. If the stage is on the second floor of a theatre with only a tiny passenger elevator, you need to build the table so it fits in the elevator and can be reassembled once on stage.

Other props will have different questions to ask. The important thing is to determine exactly what a prop needs to do.

Always be Photographing

I try to photograph all the props I make. It’s a good habit to have. Look at the box above. It’s a champagne box I built a few years ago. There’s nothing terribly special about it, and I will probably never put it in my portfolio. I took a picture of it anyway. What is the cost of storing a digital image on your harddrive? Realistically, it is close to zero. You can store images and files online with a variety of free sources. You have no reason not to take a picture.

When I was first building props, I did not have a camera. I bought disposable cameras from the drug store and used them to take pictures of my props. I then had to get the film developed and scanned in to a computer. These days, my phone has a camera. Most phones have cameras. Even if your phone does not have a camera, chances are there is a camera nearby that can take a picture. In other words, you can’t use “I don’t have a camera” as an excuse to not have pictures of your props.

Why would I photograph props if I have no intention of putting them in my portfolio? First, my portfolio layout may change. I may not have much use for a picture of a box. Maybe after a few years, I’ve constructed quite a few interesting boxes. Suddenly, I have a potential page in my portfolio of boxes I’ve constructed. I wouldn’t have that opportunity if I did not take the pictures in the first place. Basically, the cost of taking and keeping a photograph is so minimal that taking one and never using it is so minimal compared to not taking one and wishing you had. Just take the picture.

I don’t know of any serious prop masters who will ever object to one of their artisans spending a few seconds to take a photograph. The fact is that no one else is going to photograph your props for you. No one is going to be checking to make sure you are keeping your portfolio up to date. No one is going to be asking whether you are documenting your work for future reference. It is entirely up to you.

What’s in a Prop Bible

What is a “prop bible” and why do we have one? We can answer the first question by answering the second; if a prop master were to disappear off the face of the earth during the preparation of a show, the prop bible would allow his or her replacement to pick up exactly where the process was left off. Thus, a prop bible would have any and all information which a prop master has picked up in the course of propping a show about the props and their various details.

The first thing a prop bible would have is a copy of the script. Like most prop masters, I like to have the script printed on one side of regular copy paper and placed in a three-ring binder. This lets me add notes, highlights, and otherwise mark up the script. It also allows me to write more detailed notes on the opposing blank page.

The next vital item to have in the prop bible is an up-to-date version of the prop list. The subject of what goes in a prop list is a discussion in and of itself. I wrote about how to read a script back in 2009; while it touches on some parts of creating a prop list, I haven’t explicitly written about the process yet. The important thing for the purposes of this article is to have a single document which lists every prop and piece of set dressing that is expected of you.

Next up is all the information the designer gives you. Drawings, draftings, research and inspiration photographs, and even verbal and written descriptions should all be collected as much as humanly possible. You may not be able to fit full drafting plates in your book, but if possible, you can print out or photocopy at reduced size or selected portion of the drafting with an indication that the full-size version exists in another location. I often do my own supplementary research; I indicate that these pictures did not come from the designer or director, as this can sometimes be an important distinction.

The daily rehearsal reports are also integral to a props bible. The stage managers will (hopefully) sum up all the prop notes and discoveries during the day’s rehearsals and send it out to everyone on the production team. This is where many of the notes about the usage and practical requirements of the hand props will come from. When someone asks “Why is Hamlet’s sword so short?”, you can point to the rehearsal report where the actor decided he would hide his sword under his cape, and a longer sword would stick out the bottom.

Other preproduction information to have copies of includes minutes from production meetings and any other meetings with the director, designers, or stage managers. Basically, any communication, written or verbal, where decisions are made about props should be included in the bible so you don’t end up making a fool of yourself by picking out a chair for a show which the director told you weeks ago was not the style he wants.

Your prop bible is also where you want to keep all the other relevant information about your production, such as the contact sheet, schedules, and any contract you may have signed.

As your process gets underway, you need to ensure that your prop bible remains up to date. You can also add information about the sources of where your props come from. If they are borrowed or rented, you can keep contact information for the source. You may also record information about stores or vendors where you buy items from. The actual financial documents, such as receipts and invoices, are not kept in the bible; in most organizations, you need to submit the original copies of these to the accounting department or some similar department. But keeping track of the budget and keeping your budget estimate up-to-date is a good thing to have in the bible. If you were to drop off the face of the earth and someone else had only the prop bible to finish the show with, he or she would want to know how much money was left to spend.

Once the show is “frozen”, you can begin the process of documenting the show. Pictures of every prop are vital, as are pictures of how the set dressing is arranged on stage. Prop preset lists and running sheets from stage management and run crew are good to have, too. If props are arranged a certain way backstage, either on prop tables or on shelves, photographs or even diagrams of these arrangements can also be included. You should list the consumables used during the show, including how much is needed per show or per week. Any sort of food, blood, or other recipe-based prop can have its recipe recorded and instructions on how to prepare it. It is especially helpful to have a pristine copy of every paper prop used, so that new copies can be made; if you have digital versions, you can burn these to a CD to keep with the bible as well. At this point, the prop bible becomes the document with which a person can recreate the props for a production down to the last detail.

In some cases, a theatre actually does remount a production it did in the past, or rent out the props as a complete package to another theatre. Even if your organization does not do that, the prop bible still comes in handy for a number of other reasons. Sometimes you want to track down the vendor of an item in your props stock; looking through old prop bibles can sometimes yield this information. Often, we get artists who remember certain props and want us to track them down. “I remember using a green table when I did Hamlet here in 2004,” a director may reminisce. “Can we get that for our next show?” You may not have worked in that props department back in 2004, but if your predecessor had kept good bibles, it would be a mere matter of looking up that show, finding the photo of the table in the bible, and matching it to an item in your stock. Or, it may reveal that such an item was actually rented in 2004, and you can call the rental place to see if it is available.

The point of all of this is that when wagering against what information you will need in the future, keeping accurate records now will ensure you always win that wager, regardless of the situation.

Building a prop from a photograph

When you are building a prop, you are often working off of some kind of reference material. In many cases, a photograph is the only reference you have. I’ve learned a couple of tricks over the years to help me construct a prop from a photograph.

The first thing you want to do is take note of all the details in the photograph to learn as much as you can about the context in which it was taken. Do you have a time, place, name of photographer or name of subjects to go along with your photograph? If you do, you can use it to search for additional photographs of the same object. For a production of La Boheme, I was given a poorly-photocopied image of a street cart vendor as research for a cart I needed to build. Using that image, I found the above picture online, which is a crisper and cleaner reproduction of the exact same photograph. If you’re lucky, your research will lead you to multiple pictures of the same object, showing different angles or details. Otherwise, do your best with the single image you have.

Next, you want to figure out the scale of the items in your photograph so you can begin assigning measurements and dimensions to the different elements. The above photograph offers one of the best items to scale against: the human body. By measuring against our own body, we can determine the heights of the various elements. The photograph of the crepe cart gives us a great advantage by showing the cart straight on. We can essentially lay a grid over the whole image using the man as the basis for the measurements. We know that the man uses the handles to push the cart, so we can use our own hands to decide the optimal thickness of the handles rather than trying to guess it from the picture.

(You’ll notice the cart in the photo above does not match the research exactly; the designer made some changes and alterations of his own based on the needs of the production.)

Sometimes the photograph has nothing in it to scale against, and we need another method. I had to build a park bench once based off of the research below. Though we do not know the size of that park bench, we do know the sizes of other park benches.

Most seats have a sitting height of eighteen inches. Even if the specific bench in the photograph above has a different height, the actors on stage will be most comfortable in an eighteen-inch high seat, so we can decide that this bench will have a sitting height of eighteen inches. Now that we have that measurement, we can again determine the rest of the measurements and draw out a full-scale version of what we are making. The length of the bench is a little harder to determine. For that, we can defer to the needs of the production (by asking how many actors need to sit in it at one time, and what the maximum length the set will allow is) as well as the length of typical park benches to come up with our length.
